As per the Trust's Data Protection Policy, the data protection officer (DPO) is responsible for overseeing the implementation of this policy, monitoring our compliance with data protection law, and developing related policies and guidelines where applicable. School Policies

We are a Catholic community, committed to our Mission Statement to the visions of the School as a spiritual building whose cornerstone is Christ and whose foundations are the Apostles and Prophets. It follows that our community must be one of love, all of whose members honour the Christ they find in one another. Each person in the School, no matter what his or her wordly status, deserves to be treated with the respect and. indeed, reverence due to one created in the image of God and redeemed by the Precious Blood of Jesus Christ. 

It is thus the responsibility of all members of the School, pupils, parents and teachers, to take swift and approproiate action when relationships in our community conspicuously fail to reflect these ideals. The following policy is commended as a series of concrete courses of actions to assist in this endeavour.

At St John XXIII Catholic Primary School, our safeguarding records are stored electronically.  

We also use CPOMS as an online recording system.   

Procedure for the Non-Collection of Pupils 

St John XXIII Catholic Primary School has clear procedures in place where a pupil is not collected at the expected time. At all times, the welfare and safeguarding of the child will remain the priority. 

Non-Collection at 3:15pm – End of the School Day 

Where a child has not been collected at 3:15pm: 

  • The child should remain with their class teacher or another designated member of staff in a safe and supervised area. 
  • Staff should check whether the school has received any message from the parent/carer regarding a delay or change to collection arrangements. 
  • If no information has been received, the school office should contact the child's parent/carer using the contact details held on Arbor. 
  • If there is no response, all additional emergency contacts should be tried. 
  • The child must not be allowed to leave the school with anyone who is not authorised to collect them. 
  • Where appropriate and where space is available, the child may be transferred to the school's after-school provision while contact continues to be made with the family. 
  • The time of collection and any relevant circumstances should be recorded where there has been a significant delay or concern. 
  • Repeated late collection should be discussed with the parent/carer and may be referred to the DSL where there are concerns regarding the child's welfare. 

Non-Collection at 4:15pm – End of After-School Clubs 

When an after-school club finishes at approximately 4:15:pm: 

  • The member of staff running the club remains responsible for the child until they are safely handed over to an authorised adult or transferred to another agreed provision. 
  • Parents/carers should be contacted immediately where a child has not been collected. 
  • Where the child is registered for the school's after-school provision, they may be transferred there following the school's normal arrangements. 
  • Where the child is not booked into after-school provision, the office or senior member of staff on site should be informed. 
  • Emergency contacts should be called if the parent/carer cannot be reached. 
  • Under no circumstances should a child be left unsupervised or allowed to wait outside the school alone. 
  • Any significant or repeated late collection should be reported to the DSL or a member of SLT. 

Non-Collection at 6:00pm – Closure of After-School Provision 

The school’s after-school provision closes at 6:00pm. Where a child has not been collected by 6:00pm: 

  • The child must remain supervised by at least one appropriate member of staff. 
  • The parent/carer should be contacted immediately. 
  • If there is no response, all emergency contacts held by the school should be contacted. 
  • A senior leader and/or DSL should be informed that the child remains uncollected. 
  • Staff should continue attempts to contact the family and emergency contacts. 
The child should be reassured and cared for appropriately while arrangements are made. 
If the school is unable to make contact with a parent/carer or emergency contact within a reasonable period, or there are concerns for the child's welfare, the DSL or senior leader should consider contacting the relevant Children's Services duty team for advice. 
 
At all times, here there is an immediate safeguarding concern, or it is not possible to establish a safe collection arrangement, the police may also need to be contacted. 
 
Staff should not transport the child home themselves unless this is part of an explicitly authorised school procedure and appropriate safeguarding arrangements are in place. 
Missing pupils 
Our procedures are designed to ensure that a missing child is found and returned to effective supervision as soon as possible. If a child goes missing, we will:  
  • Search school premises carefully, including any out buildings 
  • If the child cannot be found, their parents will be immediately contacted by a member of admin staff  
  • At the same time, a member of SLT will contact police via 999 with their concerns
